Leading HR Outsourcer improves speed and accuracy of Benefit Statements processing

Patni assists a leading global HRO provider in migrating from legacy system to new technology platform for its offices in UK and Ireland, while streamlining their processes for greater speed and accuracy of benefits calculations and reporting.

The Client

The client is a leading global provider of a broad range of human resource (HR) advice and specialty consulting services operating in over 40 countries.


The Challenge

The client was facing speed and accuracy issues in preparing benefits statements and reports on the legacy system that was very complex to operate and train on. Some of the issues faced by the client were:


Limited skilled resources that were expensive too
Longer span of process training and difficulty in training due to complexity
Multiple locations in UK and Ireland
Limited training material, documentation for the new application
Over 240 clients to be set- up in a short period of time on the new application

The client approached Patni seeking help to streamline processes through re-organization, automation and standardization of work flow.



 

The Solution

Creation of a core team: Patni put together a core team with technical competency and domain expertise in benefits administration to uderstand the client’s delivery structure, existing legacy application and the new application onsite
Intensive and structured training sessions onsite: Patni adopted a training structure of classroom and hands- on training sessions with the client’s analyst teams to develop knowledge about the new application
Creation of a knowledge repository: Documentation of all operating procedures, process flows and service level based commitments was done to capture knowledge and assist in future training programs
Streamlining benefit calculation: Patni reconfigured the structure of benefit calculations formulae into a single calculation engine which in turn optimized performance of the queries to determine pensions
Reconciliation of deviations between Legacy and New application: A combination of Regression and UAT tests were carried out to reconcile deviations of results for different scenarios under each plan. The results were captured in a repository for future reference
Multi tier quality checks to improve accuracy: Rigorous quality checks were introduced at each level to reduce errors and increase accuracy
Creation of programming templates: helped enrich the national data library. This facilitated re-use of code by reducing rigorous programming effort each time a plan gets installed.

Patni is currently providing the following services to the client:
Benefit plan analysis and specification documentation for member events ( Withdrawls, Renewals, Retirement, Death benefits and Transfer
Calculation)
Programming new requirements as per defined scenarios
Solution testing - Regression & User Acceptence Test (UAT)
Quality assurance.
